Summary:
We are in search of an exceptionally experienced and meticulously organized Senior Personal/Executive Assistant to support our highly-driven Type A CEO based in Los Angeles, CA. This unique role demands an individual with an extraordinary commitment to detail, excellence in multitasking, and the expertise to manage a myriad of responsibilities in a vast company setting.
Key Responsibilities:
Strategic Calendar Management: Oversee a dynamic calendar, synchronize multiple schedules, anticipate conflicts, and allocate time effectively, reflecting the CEO's priorities.
Comprehensive Travel Coordination: Organize intricate domestic and international travel arrangements. Ensure accuracy in flights, luxury accommodations, transportation, and on-the-ground logistics. Promptly address any travel disruptions.
Communications Oversee: Monitor, filter, and manage a high volume of communication channels, both internal and external, ensuring the CEO remains informed and responsive.
Critical Meeting Preparation: Prepare extensive briefing materials, agendas, and research for both internal and external meetings. Guarantee all requisite data is available.
Document Creation & Management: Draft, proofread, and review critical business documents, ensuring alignment with company standards and CEO's expectations.
Liaison Role: Interface with senior company leaders, board members, external stakeholders, and VIP clients, maintaining top-tier communication standards.
Project Oversight: Lead, assist, and oversee special projects, ensuring timely completion.
Confidentiality Assurance: Exhibit utmost discretion and safeguard sensitive personal and business information at all times.
Event Coordination: Manage and coordinate events, from internal team gatherings to large external corporate events, ensuring impeccable execution.
Expense Reconciliation: Oversee, verify, and organize CEO's personal and professional expenses, ensuring timely and accurate reporting.
Qualifications & Skills:
Minimum of 7 years of experience in a senior executive assistant role, preferably in large-scale organizations.
Proven expertise in managing the schedules and demands of high-profile executives.
Infallible attention to detail and organizational skills.
Ability to adapt rapidly in a complex and evolving environment.
Superior interpersonal, written, and verbal communication skills.
Mastery of office software, including MS Office (Word, Excel, PowerPoint) and Google Suite, along with specialized enterprise tools.
Must demonstrate poise, tact, diplomacy, and the ability to handle sensitive information.
Capable of making informed decisions in the absence of detailed instructions.
