Job Description
The Assistant Customer Liaison Officer has overall responsibility for the final evaluation of all outputs from the operation and the generating of Certificates of Analysis to meet both the customers and the regulatory requirements. The Customer Liaison Officer to liaise with shareholders and other relevant parties.
Be fully aware of the policies and practices of the company as specified in the Systems Maintenance Manual and Departmental Procedures. Compliance with relevant standards / methods including all applicable legislation, customer and client requirements. Adhere to Safety, Health, Environment and Quality policies and instructions. Has the responsibility of ensuring adherence to the Management Systems which complies with SANS ISO/IEC 17025 and OHSAS 18001:2007 standards. Maintain SANAS and OHSAS accreditations. Working closely with the Branch Manager, line management and clients, the successful candidate will play an important support role, which involves strict attention to detail and a high level of responsibility and well as trouble shooting when needed. Functioning as liaison between, Customers, and SGS South Africa. Identifying problems relating to contracts, samples received and invoicing. Assign sample numbers to coal consignments and specify tests to be done. Ensure that certification on coal consignments are correct and reported timeously. Communicating with parties as needed to help facilitate day-to-day business matters. Liaising with all stakeholder / shareholders, both internal and externally, when necessary. Measuring customer satisfaction. Initiating investigations, preparing and issuing reports to the Branch Manager. Providing monthly costing. All Super User applications on SLIMS. Training SLIMS users. Register all jobs on SLIMS – Trains, Shipments and Submitted samples. Logging new laboratory work and opening a laboratory file, ensure that lab files contain the required analytical parameters and related information. Ensure documents for each file opened will be in accordance with SANAS. Receiving all nominations. Updating whiteboard status lab and managers office. Ensure subcontracting work samples are submitted and dispatched in time to external laboratories. Sample receiving and registration for all incoming jobs. Uncontrolled document without signatures PF-(RZA)-[GEN]HR-031 02/21 Counting of sample and their parameters. Updating sample receiving schedule / register. Complete documentation for sending with DHL or UIS. Ensure all documentation is available for staff working after hours. Ensure shipments are done as per customer’s instruction. Checking vessels for weekend and plant. Adhere to all quality and safety requirements of the SGS management system. Perform any other reasonable tasks as assigned by direct line manager.
Qualifications
Grade 12 with Maths and Science. Alternatively, a diploma or degree in chemistry.
Additional Information
Minimum of 5 years Laboratory experience preferably in coal. Working knowledge of laboratory in line with ISO 17025. An extensive knowledge of the SA Coal Community e.g. grades and qualities, mines, customers etc. is essential. A sound knowledge of coal testing and characteristics is essential. A sound knowledge of statistical data evaluation. Knowledge of work processing packages, MS Word, Excel and LIMS. Knowledge of all applicable Legislation including the Occupational Health and Safety Act. Fluent in English Good communication and interpersonal skills Attention to detail Well organized Computer literate.
