The Executive Assistant role will provide administrative support to the Personal Care VP of R&E. Responsibilities include maintaining and modify the executive's schedule, and ensures the executive is made aware of issues that need immediate attention. They provide a broad range of confidential administrative support to the executive, additional team members, and other visiting executives if needed. The incumbent must maintain strong interpersonal relationships with employees at all levels of the organization, be highly detail oriented, and work independently to resolve issues.

In this role, you will:

  • Maintain a continuously-updated and fully accurate PC R&E organizational chart including vacancies.

    Provide leadership/mentoring/training for, and coordination of, the PC R&E Assistant group, identifying and actioning continuous improvement items and best practices.
  • Create standard work to provide timely/accurate information to PC R&E VP on a weekly basis as identified (team member moves, new team members, anniversary milestones, birthdays etc).
  • Manages the leader’s day to day calendar – Scheduling meetings, speaking engagements, and other appointments. This may also include setting up travel, conference rooms, and resources. Ensures there are no scheduling conflicts and that the leader knows where he/she needs to be and at what time.
  • Makes sure the leader is prepared for his/her meetings (e.g., has the PPO of the meeting, pre-reads, briefings, etc.). Assembles packets of information and prepares materials including itineraries.
  • Prepares department, staff, and other large-scale meetings including creating agendas, preparing any meeting materials and or presentations, assisting with notetaking and follow-up, scheduling the required conference space, facilitating refreshments, and managing the budget for these meetings and/or conferences.
  • If requested, the admin will help with preparing and formatting information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating presentations, editing, proofreading, etc.
  • Act as the point of contact between leaders and employees/clients, protecting the leader’s calendar and time.
  • Prepares travel arrangements and takes care of all logistics.
  • Monitors, tracks, and processes the leader’s expense reports.
  • Acts as a liaison between the leader and Talent Acquisition to schedule interviews for open roles.
  • Assists in the processing of new hires and will lead the Onboarding process for the leader’s direct reports.
  • Works closely with the Communication Business Partner to assist in the creation and distribution of any communication on behalf of the leader to the organization.
  • Orders and manages IT equipment and peripherals.
  • Submits and follows up on any facility requests on behalf of the leader.
  • Creates and manages purchase orders as requested.
  • Pays invoices with the P-Card, when necessary.
  • Handles all office supplies and shipping and mailing requests.

The successful candidate will join the NACP Baby Child Care team and report to the VP, Personal Care R&E.
