Reporting to Manager, Manager, Member Services, you will be responsible for supporting the organization and administration of Scouts Canada’s MyScouts online registration process in an effective, efficient and service-orientated manner.
Responsibilities:

  • Manage administration of MyScouts and responsible for ensuring that all members are able to register online and compliant with screening requirements
  • Manage the administration of the No One Left Behind (NOLB) subsidy process, ensuring youth are registered and any outstanding fees are followed up on in a timely manner
  • Manage the administration of Group Billing Codes and any discounts
  • Manage the registration refund process to ensure all groups/parents receive the appropriate refund in a timely manner
  • Reconcile group registration on a regular basis to achieve minimal accounts receivable balance
  • Produce monthly statistical reports as requested by Manager
  • Point of contact for Group Registrars and provide a positive member services experience by providing information and advice; conduct regular training and webinars for Group Registrars on using MyScouts system
  • Provide registration support to new and existing groups and follow up with groups having outstanding registration issues
  • Liaison with local police to ensure our process in completing screening requirements is up to date and following up on outstanding Police Record Checks/ Vulnerable Sector Searches (PRC/VSS)
  • Manage individual member files including all screening documents (PRC/VSS, Code of Conduct, References, Online Training)
  • Actively participate on Teams calls
  • Respond to Help Center queries in a timely manner. Manage Zendesk tickets and answer queries in relation to registration questions or concerns
  • Provide technical support to parents and Scouters with the online Customer Relationship Management system (MyScouts/ NetForum)
  • Use Zendesk to manage workflow of tickets

What you bring to the table:

  • Post-secondary education in a related field
  • Minimum 2 years of experience in an administrative customer support role
  • Data entry experience and familiar with various databases
  • Experience using ticketing system (exp Zendesk)
  • Proficient in Word, Outlook, advanced Excel skills
  • Typing/word processing skills at 30wpm or above with accuracy
  • Excellent interpersonal skills with the ability to interact with staff, volunteers, members and general public in a confident, courteous and professional manner.
  • Conscientious and meticulous attention to detail.
  • Strong written communication skills and the ability to communicate effectively, tactfully, and courteously through oral and written communications
  • Solid organizational skills and ability to handle multiple inquiries/requests based on their respective priorities
  • Strong ability to adapt to new technological systems and platforms.
  • PRC (Police Record Check) and VSS (Vulnerable Sector Check) are required before the start date
  • Mandatory training requirement

Salary depends on skills and experience. Starting salary is $49,858.40
